How to Get Started with Call Intelligence Software

This complete guide shows you how to set up AI call transcription and analytics in 10 minutes. Learn how to connect your VoIP system, enable automatic transcription, and start analyzing sales calls with Coldread.

Prerequisites

  • VoIP account with Ringover or Aircall (or any system supporting webhooks)
  • Admin or developer access to create webhooks in your VoIP provider
  • Call recording enabled in your VoIP settings (required for transcription)

Quick Start (5 steps)

Create your account and complete onboarding

Sign up for a free 14-day trial at coldread.ai. No credit card required.

After signing up, you'll be guided through a quick 4-step onboarding wizard:

  • Tell us about your team and industry
  • Define your sales stages (or use our templates)
  • Set up compliance preferences
  • Choose your VoIP provider

Tip: Have your VoIP account details ready. You'll need admin access to set up webhooks in Step 4.

Load demo data (optional but recommended)

30 seconds

Before connecting your phone system, we recommend loading demo data to explore Coldread's features without waiting for real calls.

From your dashboard, click "Load Demo Data" in the top-right corner. This will add:

  • 5 realistic sales call transcripts with AI analysis
  • 3 contact profiles with conversation history
  • Example objections, questions, and outcomes

Demo data is clearly marked with a DEMO badge and can be removed at any time from Settings.

Choose your VoIP provider

Coldread integrates with the following VoIP providers:

Connect your integration

5 minutes

After choosing your provider, follow the provider-specific setup guide linked in Step 3. The general process is:

  1. Create an integration in Coldread (Dashboard → Settings → Integrations → Add Integration)
  2. Copy your webhook URL from Coldread
  3. Paste it into your VoIP provider's webhook settings (usually found under Integrations, API, or Developer settings)
  4. Enable call events (primarily call.ended)
  5. Enable call recording in your VoIP settings (required for transcription)

Important: You must have admin or developer access to your VoIP account to create webhooks. If you don't have this access, ask your IT admin or account owner.

Make a test call and verify

Once your integration is connected, make a test call using your VoIP system to verify everything works:

  1. Make a call lasting at least 30 seconds (use your mobile phone or a colleague)
  2. End the call and wait 30-60 seconds for processing
  3. Check your Coldread dashboard → Calls tab
  4. Verify the call appears with transcript and AI analysis

The call will appear within 1-2 minutes. Transcription and full AI analysis typically completes within 3-6 minutes of the call ending.

Success! If you see your test call with a transcript, you're all set. Real calls will now automatically appear in Coldread.

Understanding Your Dashboard

Once you've completed setup, here's what you'll find in your Coldread dashboard.

Calls Tab

View all your transcribed calls with AI analysis. Each call shows transcript, detected sales stage, call type, custom tags, compliance check results, and a 15-word call outcome summary.

Transcript: Word-for-word transcription with speaker labels
Stage: Automatically detected sales pipeline stage
Call Type: Classification (e.g. inbound inquiry, follow-up, demo)
Tags: User-defined tags evaluated per call by AI
Compliance: Results of compliance checks against the transcript
Outcome: Concise 15-word summary of the call result

Contacts Tab

Unified profiles built from call history. Each contact shows their details and a timeline of all calls with transcripts and analysis.

Profile Overview: Name, company, role, contact details
Call History: All calls with this contact, chronological
Call Analysis: Stage, type, tags, compliance, and outcome for each call

Settings Overview

Configure integrations, manage team members, customize sales stages, set up compliance, and control billing.

Integrations: Manage VoIP connections, webhook URLs, status
Team: Invite members, assign roles, track usage
Sales Stages: Define custom stages or use templates
Compliance: Configure consent, retention, GDPR settings
Billing: View usage, manage subscription, invoices
